Party Booking Terms & Conditions
All party bookings and entry to The Children’s Play Village are subject to accepting the following Terms and Conditions. Please read the Terms & Conditions carefully prior to booking a party.

About Parties at The Children’s Play Village
1.0 All information regarding parties at The Children’s Play Village can be found at www.childrensplayvillage.co.uk/parties. Please direct any questions or queries you have to email@example.com or telephone 01926 830635 to speak to a member of our team.
1.1 Your party booking includes admission for the number of children agreed for a 2.5 hour period, held during one of our 3 play sessions. The first play session starts at 9.30 – 12pm, the second at 12.30pm – 3pm and the third at 3.30pm – 6pm. All parties begin and end at the same time as one of our 3 play sessions.
1.2 Your party booking includes a maximum of two adults per child , entry to The Children’s Play Village, access to activities offered by Play Makers along with special party touches delivered through the play session, a reserved party table and party food and beverage for children.
Making a Party Booking
1.3 All party bookings can be made directly using our online booking system, or by speaking with a member of our team in person or via telephone.
1.4 At the time of booking you will need to confirm your best estimate of the number of children attending and the booking will be made to accommodate the number of children stated. Due to The Children’s Play Village operating a maximum visitor numbers policy we cannot guarantee availability for additional party guests after the initial party booking is made.
1.5 We politely request you arrive at The Children’s Play Village no sooner 5-10 minutes before your party starts and children will not be permitted to play until the play session begins. Please note, The Children’s Play Village closes completely for the 30 minutes prior to each play session to allow staff to tidy, clean and reset role play areas for visitors in the next play session.
Confirmation of Booking
1.6 Once your party booking has been made, you will receive a confirmation email from The Children’s Play Village to the email address provided and a Worldpay receipt of payment to the email address provided.
1.7 Your confirmation email includes a link to an online Party Booking Form which must be completed at least 14 days prior to your visit to inform us of food and beverage requirements, any special dietary and medical requirements along with key information regarding the birthday child and party guests.
Payment for a Party
1.8 Please note all party bookings are subject to a non-refundable booking deposit that equals 50% of the overall costs of the party payable upon booking.
1.9 The remaining 50% is payable 14 days prior to the date of the party. 14 days prior to the date of the party you will receive a reminder email to contact us via email or telephone on firstname.lastname@example.org or telephone 01926 830635 to make payment of the total outstanding balance for the party. The final number of children and adults attending must be made no later than 14 days prior to the party.
2.0 We have the right to cancel your booking if we do not receive the balance in due time.
2.1 Any additional food or costs incurred for accommodating party additions over and above that provided in one of our parties will be added to your booking and charged in full.
2.2 All adults attending the party with children who are not included within the total number of party guests will be required to pay for entry to The Children’s Play Village and make an online booking via our website.
2.3 Adults are not charged for entry to the Play Village and a maximum of two adults are able to attend with each child when attending a party.
Cancellations and Refunds
2.4 Any cancellations made later than 14 days prior to the date of the party are NOT eligible for a refund and will be charged in full along with children who may be unable to attend or did not show.
2.5 If you need or want to cancel your party booking please contact us via email or telephone. Please note the 50% deposit made is secure your booking is non-refundable in all circumstances.
2.6 If you cancel your booking 14 days before (or more) the date of the party, you will not be required to make any further payment of the outstanding balance, your initial deposit is however non-refundable.
2.7 In the unlikely event that we need to cancel your party booking for reasons beyond our control, we will ensure an alternative venue is found and if not suitable a full refund offered.
Short Notice Party Bookings
2.8 Any party booking made within 14 days of the date of a party must be paid for in full at the point of booking and all food and beverage requirements must be confirmed at the time of booking.
General Party Booking Information
2.9 The person making the party booking accepts full responsibility for the supervision of children whilst at The Children’s Play Village, along with parents/guardians attending with children. Staff (Play Makers) at The Children’s Play Village are present to enhance the play experience of your child during a play session, however, they are not responsible for the supervision and behaviour of children.
3.0 The party booking excludes food and beverage served via our bistro and activities provided by an external provider may be subject to separate fees and will be advertised accordingly.
3.1 All customers will receive email confirmation along with a booking reference which acts as proof of securing the party booking. Please check you have received this email following purchase. Your booking reference is required upon arrival and we take no responsibility should you not receive this email due to reasons outside of our control e.g. junk or spam filtering.
3.2 The person making the party booking accepts these Terms & Conditions on behalf of every visitor and is responsible for ensuring these Terms are communicated to and followed by visitors attending.
3.3 Adults are not required to purchase a ticket. An ‘adult’ is a parent or guardian over the age of 18 years entering with a child.
Our Play Sessions & Opening Times
3.4 The Children’s Play Village opening hours are 9.30am – 6pm, 7 days per week excluding key holiday dates which will be advertised on The Children’s Play Village website.
3.5 The Children’s Play Village operates 3 play sessions per day each for a 2.5 hour period. The first play session starts at 9.30 – 12pm, the second at 12.30pm – 3pm and the third at 3.30pm – 6pm.
3.6 You are asked to arrive at The Children’s Play Village no sooner 5-10 minutes before your party starts and children will not be permitted to play until their play session begins.
3.7 Visitors who arrive after the start of the play session will be required to leave at the end of the play session as per the party booking.
3.8 All visitors must leave The Children’s Play Village at the end of their play session. Following each play session The Children’s Play Village will close completely for 30 mins to allow staff to tidy, clean and reset role play areas for visitors in the next play session.
3.9 The Children’s Play Village reserve the right to close all or part of the play village should there be a risk to the safety and security of visitors and staff.
Rules of Entry
4.0 The Children’s Play Village provides play provision for children of all ages and until their enjoyment of role play ceases.
5.0 All children entering The Children’s Play Village must be accompanied by an adult, 18 years and older. All babies, pre-walkers, toddlers and children must be supervised by a parent/carer at all times.
5.1 Any child or adult causing wilful damage to the facilities, fixtures or fittings will be liable to pay for any damage caused.
5.2 The Children’s Play Village have the right to ask a person to leave should they evade our rules of entry and play.
5.3 The Children’s Play Village have the right to ask a person to leave should they pose a danger or threat to staff or customers. Fighting, bullying, abusive language or illegal activity of any kind will not be tolerated and will be asked to leave without refund.
5.4 To prevent the spread of infection children who are unwell, or who have been unwell, must not visit The Children’s Play Village for 48 hours. If a child or adult becomes sick or infectious whilst at The Children’s Play Village they will politely be asked to leave.
5.5 With the exception of school parties, outside food and beverage cannot be consumed on. The Children’s Play Village premises unless agreed with management.
5.6 Food or drinks (hot or cold) are not permitted anywhere within The Children’s Play Village other than designated visitor areas.
5.7 The Children’s Play Village is a smoke free facility and smoking is prohibited anywhere on our site, including the use of e-cigarettes.
5.8 No pets or animals are permitted except for assistance.
Photography, Camera and Mobile Devises
5.9 The privacy of other visitors must be respected. Visitors can take photographs of their own children for personal, private, non-commercial purposes only. Unless permission has been expressly granted by us, pictures and images cannot be reproduced in any format or media other than for private viewing.
6.0 The Children’s Play Village only shares photographs of children playing on our website, social media or promotional materials with prior written consent from parents/carers.
Security & Safety
6.1 CCTV systems are installed externally and internally at The Children’s Play Village to enhance the security of the building. The Intended purpose of CCTV is for:
- Protecting the building and its assets both during and after opening
- Reducing the incidence of crime and anti-social
- Assist in identifying, apprehending and prosecuting offenders of criminal
6.2 Video monitoring of public areas on our premises is for security purposes only and is limited to uses that do not violate the individual’s reasonable expectation to privacy.
